Volunteering for Our School

UA-Logo-smUpper Arlington Schools and the Board of Education recognize that certain programs and activities can be enhanced through the use of volunteers who have particular knowledge or skills beneficial to those programs and activities.

The following guidelines apply to all volunteers and prospective volunteers in the Upper Arlington City School District. The following will be used to determine volunteer status:

Level 1:  Volunteer activity does not involve unsupervised contact with access to students.  Background checks are not required for these volunteers.

  • Examples include, but are not limited to, classroom helpers working in conjunction with building staff, field day volunteers, book fair volunteers, classroom visitors for presentations or celebrations, adults who do not volunteer on a regular basis and are never alone with students.

Level 2 = Volunteer activity may involve unsupervised contact with access to student(s) on or off campus. Fingerprinting/background checks are required for these volunteers as listed below:

  • Any person who volunteers on an ongoing and regular basis in the classroom or at a school event in which they might be supervising students or have access to confidential information
  • Any person who might work with students without another adult (person over age 18) present in the classroom. Examples include volunteers who read with or work with students in a small group outside of the classroom and volunteers who may escort students  to the restroom or office while a group activity is occurring elsewhere.
  • Any person who might be with students outdoors and is not continuously visible to school staff members where there is no other authorized adult (person over age 18). An example would be volunteers who chaperone field trips during which students may break into small groups and separate from other UA staff member chaperones.
  • Volunteers are required to abide by all Board polices and District guidelines while on duty as a volunteer, included but not limited to maintaining confidentiality of any student personally identifiable information to which she/he is exposed except as authorized by law.
  • Volunteers will be covered under the District’s general liability policy, but the District cannot provide any type of health insurance to cover illness or accident incurred while serving as a volunteer, nor is the person eligible for workers’ compensation.

For the protection and safety of our students, people serving as regular and ongoing volunteers may be asked to complete a background check. If you have been asked to do so or intent to volunteer at Level 2, please use the link below and review the process for approval.

Process for Approval:

  1. Please complete the online background check form at least 5 to 10 business days prior to the volunteer opportunity.
  2. Once you have completed the background check form online, the District will submit your information for review. There is no charge to the volunteer to receive this background check.
  3. Once the District is notified that the volunteer has passed the background check, the volunteer will be notified to come to the Central Office, 1950 North Mallway Drive, to sign the District approved volunteer form and receive a picture ID as an approved Upper Arlington City School Volunteer.
  4. Volunteers will be required to renew their badges every three school years. A new background check will be required and a new badge will be issued.
